How to connect Zapier with Cloud BOT

What is Zapier

Zapier is a tool to automate your task by connecting one web service or application with another. This kind of integration services is known as iPaaS(integration Platform as a Service).

Zapier has garnered an overwhelming share of iPaaS, and connectable to more than 2000 (as of June 2020) web services and applications.
In addition to many services such as slack and Google, Zapier supports a lot of business-using services and widely used in the business scene.

In Zapier, Zap is an automated workflow that connects apps and services together, and it is consists of a trigger and an action. The action event will be performed when the trigger event is triggered.

Connection setting in Cloud BOT

It is necessary to enable the external connection of Cloud BOT to connect with Zapier.

Enable external connection

Login to Cloud BOT and choose Connect on the side menu.

Turn the switch ON of "External Connections".

You can find the BOT list is displayed if you turned on the external connections switch.

Choose your BOT to connect

Next, we are going to choose the BOT to connect.
Turn the switches on of the BOT that you want to connect with external services on the "BOT to connect".

Only the BOTs that have been turned ON will be available in Zapier.

If you want to make all your new BOT enable to connect, you can turn on the "Automatically enable the connection with new created BOT."

Login to Zapier

Go to Zapier website: (https://zapier.com/app/login) and log into it.

Create Zaps

Use Cloud BOT as a trigger

Create a new Zap that sets the BOT execution in Cloud BOT as a trigger, and notify the execution status to Gmail when the BOT complete.

Set Cloud BOT as a trigger

Click MAKE A ZAP on the left sidebar menu.

First, select your trigger app.
Find Cloud Bot and click it. If you cannot find Cloud BOT in your list, input Cloud BOT in the search form and find it.

Now Cloud BOT is selected as a trigger app.
Next, set up your action event.

※Now, the only event Cloud BOT provides is BOT DONE which means BOT has been done.

Click CONTINUE button to next step.

Click Sign in to Cloud BOT and authorize your Cloud BOT account.

Read Terms and conditions and the Privacy Policy on the authorization page and click Authorize.

Your authorized Cloud BOT account will be selected.

Click CONTINUE button to next step.

In order, select your language, contract, and trigger BOT.

Click CONTINUE button to next step.

For operation confirming, click the Test trigger button.

If you get the message: We found a job! , you have set your trigger successfully.

Click CONTINUE button to next step.

Set up Gmail as an action

Then, set the action. For instance, we are going to set up Gmail as an action.

Click Gmail.

Gmail is selected as an action app. then, choose your action events. For instance, we are going to set up Sending Gmail as an Action Event.

Click CONTINUE button to next step.

Click Sign in to Gmail and authorize your Gmail account.

Click Allow button after confirming the terms of service and privacy policies on the authorization page.

Your authorized Gmail account will be selected.

Click CONTINUE button to next step.

Input your required content such as email destination, sender, subject, and the message body.

※This zap has "[BOT Name]" for the subject, "Running status": [status]" for the message body. And this zap notifies the finish of BOT and whether it has been completed successfully or not.

Click CONTINUE button to next step.

Connect apps

For operation confirming, click TEST & CONTINUE button.

If all fields have been checked, your ZAP is ready. Turn the OFF button into on which is located at the bottom of this page.

This ZAP is active now, and the connection is available.

Use Cloud BOT as an action

Create a new connection app which will execute the selected BOT when receiving an email with specific words in the subject

Set Gmail as a trigger

Select ZAPs on the left sidebar menu and Click MAKE A ZAP button.

First, select your trigger app.
Find Gmail and click it. If you cannot find Gmail in your list, input Gmail in the search form and find it.

Now Gmail is selected as a trigger app.
Next, set up your action event.

Click CONTINUE button to next step.

Click Sign in to Gmail and authorize your Gmail account.

Click Allow button after confirming the terms of service and privacy policies on the authorization page.

Your authorized Gmail account will be selected.

Click CONTINUE button to next step.

Specify the search string in the subject. This time specify Sales closed as an example. Next, select your target BOT.

Click CONTINUE button to next step.

For operation confirming, click the Test trigger button.

If you get the message: We found an email matching search! , you have set your trigger successfully.

Click CONTINUE button to next step.

Set up Cloud BOT as an action

Next, set up the action. Select Cloud BOT. If you cannot find Cloud BOT in your list, input Cloud BOT in the search form and find it.

Now Cloud BOT is selected as an action. Next, set up your action event.

※Now, the only event Cloud BOT provides is Execute BOT which means the execution of a BOT.

Click CONTINUE button to next step.

Click Sign in to Cloud BOT and authorize your Cloud BOT account.

Read Terms and conditions and the Privacy Policy on the authorization page and click Authorize.

Choose Cloud BOT account which you want to set up as an action.

Click CONTINUE button to next step.

In order, select your language, contract, and trigger BOT.

※If the Async function is enabled, you will get a response as soon as the BOT starts running. The response does not include the execution result value of the BOT.

※This zap will execute an automatic sales registration BOT by passing the email message body as parameters.

Click CONTINUE button to next step.

For operation confirming, click TEST & CONTINUE button.

Connect apps

If all fields have been checked, your ZAP is ready. Turn the OFF button into on which is located at the bottom of this page.

This ZAP is active now, and the connection is available.
